Postal Updates
Move Update Penalties to Begin January 2010!
 
Although we are still relishing the concept of no set postage increases next year, there are several changes coming in the months ahead that warrant just as much attention.  Since November 2008 we have been adjusting to the new Move Update standards however the USPS has been lenient in terms of penalizing those who are not following these guidelines. 
 
To comply with Move Update standards, your list must be updated within 95 days of a First Class or Standard mailing (typically done through NCOA processing.)  For First Class mail, penalties are already in place.  However, starting on January 4th, 2010 a fee of $0.07 per non-compliant standard or nonprofit piece will be charged to your mailing. 
 
Only 70% of your mail must be Move Update compliant.  The fees will be assessed based on the number of pieces that do not meet that threshold.  So in other words, if only 60% of your mail meets Move Update requirements, the additional charge will be added to 10% of the mailing.  In other words, if the mail quantity is 100,000 pieces, 10,000 pieces would have the addtional fee of $0.07 per piece, or an additional $700 in fines. 
 
Remember, having the NCOA paperwork alone is not enough!  You must ensure that your database is updated to avoid these last minute charges.  We are still in the final stages of determining how these new standards impact commingled mail, as well.  Stay tuned to the PS Insider for more details!  

Track It Back

Hasn't Our Mail Delivered Yet? 
 
It happens around this time every year.  The busiest time of year in the direct mail industry and everyone is wondering how long it will take for the seeds to arrive.  The post office is much busier and the delivery windows tend to get longer.  "Are we sure this mailed on time?" we ask ourselves.  "Has the caging company processed all of the returns yet?"  There has been a great unknown, a black hole of sorts, between the time when the mail is picked up and when it is processed by the caging company...until now!  
 
With the Intelligent Mail Barcode comes lots of new options.  "I know when the packages arrive by using US Monitor" you might think.  However, we now have the option to include the recipient's member ID in the IMB and track specific packages throughout the mailstream!  This could play into an online follow up program in which you send emails to specific members letting them know exactly when their packages will arrive. 
 
On the back end, we are also looking into a "Track It Back" program.  Utilizing an IMB on your reply mail could allow you to determine who already sent donations, even before the caging company even receives them.  You could then suppress these specific names from your next mailing, saving you money (and perhaps a few trees too!)
 
The first step is utilizing the IMB on the outgoing mail.  Although it won't be required by the USPS for a while, there are incentives to get a head start now!
